The Institutional
Service Contract.

Everything covered under our annual institutional agreement — coverage, pricing, scheduling, and terms — laid out in full, plus a downloadable copy of the actual contract template. No surprises before you sign.

I.

Overview

What this agreement establishes.

This agreement establishes an annual piano service contract between Moore Piano Services ("the Technician") and your organization ("the Client") for the regular care and maintenance of acoustic pianos you own or maintain.

A minimum of four (4) pianos is required for institutional contract pricing. Each covered instrument is listed by location, make/model, and condition at the start of the agreement — need to list more than 15? We're happy to accommodate larger campuses with an attached sheet.

II.

Services Included

What's covered under the contract.

Two (2) standard tunings per instrument, per year, scheduled at intervals that account for seasonal humidity change — typically spring and fall.

  • Free annual inspection and written condition report for each instrument
  • Priority scheduling ahead of non-contract clients
  • Minor repairs and adjustments performed during scheduled visits at no additional charge (sticking keys, minor regulation touch-ups, loose hardware)
  • Consolidated invoicing — one invoice per visit covering all instruments, rather than billing per piano
  • 10% off every additional service for the life of the contract — regulation, deep cleaning, pitch raises, Dampp-Chaser installation, and any repair work beyond what's included above
III.

Services Not Included

What's quoted separately.

The following are not covered under the annual contract rate and will be quoted separately if needed:

  • Pitch raises for instruments significantly out of tune at the start of the contract term
  • Full regulation or action rebuilds
  • Restoration work
  • Replacement of major parts (hammers, strings, soundboard repair)
  • Damage resulting from causes outside normal use (water damage, impact, pest infestation, or neglect)
IV.

Pricing & Term

How pricing works.

Each covered instrument is billed at $360/year, which includes both annual tunings — a $40 savings per instrument off the standard $200 single-tuning rate. Multiply $360 by the number of instruments listed on your contract to get your total annual contract value.

$360 per instrument / year

4-instrument minimum applies. Every additional service during the contract term is billed at 10% off.

Example 8 instruments × $360/year  =  $2,880 total annual contract value

Billing can be scheduled however works best for your organization's budgeting:

Annually

Twice Yearly

Quarterly

Twice-yearly billing is timed with each tuning visit.

Term: This agreement covers a period of twelve (12) months from the effective date and renews automatically for successive 12-month terms unless either party provides written notice of cancellation at least 30 days before renewal.

V.

Scheduling & Access

How visits are arranged.

  • Building access will be coordinated in advance by your designated contact.
  • A staff member does not need to be present during routine tuning visits.
  • Visits will be scheduled at least 1 week in advance via phone or email.
VI.

Termination

No long-term lock-in.

Either party may terminate this agreement with thirty (30) days written notice. Fees for services already rendered remain due. No long-term commitment beyond the current 12-month term is required, and there is no penalty for non-renewal.

Liability & Satisfaction Guarantee

Every instrument, handled with care.

Moore Piano Services takes every reasonable precaution in handling each instrument. While extremely rare, certain incidents such as string breakage may occasionally occur due to the delicate nature of pianos — such occurrences are not the result of negligence and are not covered as a defect of service. If you're not satisfied with any visit, Moore Piano Services will return at no charge to address the concern.
